Short answer: Electronics shops sell high-value items on GST with warranty, exchange and credit. You need a clean GST invoice, estimates for large orders, credit notes for returns and an accurate customer ledger. BizKhata provides these with per-item GST rates and HSN, offline on Windows and Mac.
Why electronics billing needs care
- Higher invoice values mean tax errors cost more.
- Items such as televisions, air conditioners, mobiles, laptops and accessories can fall in different GST slabs. Confirm the current rate on every product with your CA, and keep HSN codes correct on the item master.
- Customers ask for a quotation first, then pay in part, then ask for a return or exchange.
A proper tax invoice
Each BizKhata sale gives a GST invoice with GSTIN, HSN, taxable value, CGST/SGST or IGST split and total. For B2B customers, the buyer’s GSTIN is on the bill so they can claim credit. E-invoice is supported where the turnover threshold applies.
Estimates and orders
Make a quotation with the Estimate voucher, share it, and convert it to a sale when the customer confirms. Large deals (offices, schools, builders) usually want a quotation first.
Model details on the bill
Use the item name and description to carry the model number and specifications so they print on the invoice. This helps with warranty claims later because the model is on the bill.
Credit notes and returns
If a unit is returned, issue a credit note against the sale so tax and stock are corrected together. For supplier-side returns use a debit note.
Accessories and fast movers
Accessories like chargers, cables and covers are high volume and low value. Use POS or Fast billing with barcode scanning for these, while valuable items use full invoice mode.
Customer credit and EMI-type dealings
Corporate clients and regular customers often pay later. Party ledgers with bill-by-bill outstanding show every pending invoice and its days. Cash, bank and contra entries keep your books tied to the bank statement.
Purchases and distributors
Record purchase invoices from distributors, track what you owe, and match input tax in your monthly checks. Stock is updated with every purchase and sale, so you know what is available before promising delivery.
Month-end routine
- Reconcile cash and bank.
- Review outstanding by customer.
- Run GSTR-1 and GSTR-3B checks.
- Share the export with your CA.
- Back up the data.
Why offline
Shops in markets like Nehru Place or local electronics lanes face crowded networks. An offline app is always ready.

Setting up items for electronics
Create a category for each product group (mobiles, laptops, TVs, accessories, repair parts). For each item, enter brand, model in the name, HSN, GST rate, MRP, sale rate, purchase rate and minimum stock. Use item aliases for the short model names your staff use at the counter. Keep the manufacturer field filled in, so supplier comparison is easy later. Set a minimum margin on items where your margin is thin, so a rushed discount does not push the sale below cost.
Selling accessories and services together
Many shops sell a phone, a cover, a screen guard and a service (repair, installation) in one bill. Add services as items with their own SAC code and GST rate. The invoice then shows goods and services on separate lines with the right tax on each. Confirm the HSN or SAC code and rate for each item with your CA.
Warranty and after-sales
Printing the model and any serial or reference number in the item description gives the customer proof for warranty claims. Keep the invoice number on the warranty card. If a product comes back as faulty, issue a credit note against the sale, then raise a debit note to the supplier when you return it. BizKhata does not track a warranty period by itself, so keep that on the card or in the item description.
Comparing margins
Check your profit item by item. Keep the purchase rate current so the margin shown is real. High-value items often have thin margins, while accessories have fat margins, so a mix of both keeps the business healthy.
Corporate and institutional customers
Offices, schools and contractors need a GST invoice with their GSTIN, a quotation before the order and sometimes a delivery challan. Use an Estimate for the quotation, a delivery challan on dispatch and a sale invoice on billing, and track the payment against each invoice until it is received.
